Controlled Copy
A controlled document can be updated, amended, reviewed and approved prior to issuance and distribution to intended user(s) or copyholder(s). All the documents are held centrally with easy access for authorized users. KnowledgeNET provides an audit trail for keeping a track of who can review and/or approve the document(s).
Keeping archival versions of documents in a document management system helps protect paper documents that still have to be retained from over-handling and keeps electronic documents in a non-proprietary and native format.
Different users can be assigned by authors for creation and/or review of documents. According to the assigned rights, the stage of the document will change.
Document Review routes a draft document to a set of users for review. The reviewers can edit the content of the document; add a comment to the document, or both. Depending on how the review cycle was set up, the author will update the document from the reviewers' comments.
Reviewers and approvers can forward the documents to next stage by adding comments for the same.
KnowledgeNET provides a creation of unique document IDs that can be printed in the released document. It provides the facility of printing documents in bulk thus, making it easy for users to manage the controlled copies.
It also provides a reporting module that generates a release track report. Authors can view a full history of all the documents released.
KnowledgeNET also facilitates the users to attach the documents thus, making it easy to manage unstructured documents.
